Seeking Administrative and Executive Assistants for non-profit organizations, for long term temporary positions.
Duties:
- C-suite level scheduling of meetings (in-person and virtual), calls and conferences;
- Management of communications with external stakeholders and department staff to ensure prompt response time
- Scheduling and preparation of important meetings and communications
- Editing of materials for Executive Staff for meetings, briefings, testimony, conferences and
presentations, requiring interaction with multiple stakeholders and organizational skills
- Assistance of staff in the coordination of various activities, including projects and programs related to the Executive
Office, other divisions of the organization and, other state stakeholders
- Answers telephone, makes calls, and greets visitors (when in-person meetings are scheduled) promptly and
professionally, ensuring that schedules are kept, and stakeholders' inquiries are promptly responded to
- Check filings for deficiencies, calculating filing fees as needed, scanning paper submissions, issue ID numbers to filings, update database, saving files to shared drive following file-naming convention
- Download files from the cloud, or copy from emails in outlook as required
- Other duties as required
Requirements:
- Previous executive support, scheduling, and coordination experience.
- A high level of organizational skills.
- Must be self-motivated and capable of prioritizing and managing multiple
tasks.
- Must work under a high level of discretion handling confidential matters.
- Ability to manage competing priorities while maintaining a high level of attention to detail.
- Computer proficiency in Microsoft Office Suite, including Outlook, Word, Excel, Teams, etc. is required. Knowledge of Webex and
PowerPoint is highly preferred.
- Strong familiarity with other computer systems, such as expense report software is desirable.
- Previous understanding of Concur is a plus.
- Accuracy and high attention to detail are imperative
- Candidate must have knowledge of data entry and different computer programs, have the ability to assess or analyze documents and make determination, operate office phone, be flexible, a fast learner, and adaptable to fast paste and fluid environment.
