Position Title: Property Manager

Status: Temporary to Permanent

Location: Upper West Side, New York, 10023, On-site

Hours: Mon – Fri, 9 am – 5 pm

Pay: $81/hr

Job Summary

A well-established Manhattan cooperative seeks an experienced Property Manager to oversee daily operations and act as the main liaison to the Board of Directors. This highly visible leadership role requires strong co-op housing experience and excellent judgment, balancing operations and resident service.

The Property Manager oversees about 20 employees: a Resident Manager/Chief Engineer, office staff, maintenance staff, front desk staff, porters, and accounting support. The candidate must confidently and clearly manage building operations, finances, personnel, and resident relations, while remaining calm and professional at all times.

Essential functions

Building Operations

  • Oversee all aspects of daily building operations and maintenance.
  • Supervise the Resident Manager/Chief Engineer. Ensure proper management of building systems, preventive maintenance, capital projects, and vendor activities.
  • Assess building conditions and identify ways to improve operations and reduce costs.
  • Coordinate all major repairs, renovations, and capital projects.

Staff Management

  • Lead and manage about 20 employees.
  • Partner with the Resident Manager to ensure effective supervision of maintenance staff, porters, and front desk personnel.
  • Oversee staffing schedules, performance management, employee relations, and workforce planning.
  • Promote a professional, respectful, service-oriented culture.

Board Relations

  • Act as the primary point of contact for the Board of Directors.
  • Attend Board meetings and provide regular operational and financial updates.
  • Prepare reports, recommendations, and supporting documentation for Board review.
  • Implement Board policies and strategic initiatives.

Financial Administration

  • Assist with budget preparation, forecasting, and expense monitoring.
  • Review invoices, approve expenditures within authority limits, and monitor vendor contracts.
  • Oversee payroll administration and ensure accurate processing.
  • Work closely with the building's bookkeeper, accountants, auditors, and other financial partners.
  • Monitor collections, operating expenses, and reserve projects.

Resident Relations

  • Respond professionally and promptly to resident concerns and requests.
  • Manage sensitive situations with diplomacy, discretion, and sound judgment.
  • Maintain positive relationships with shareholders, Board members, staff, and vendors.

Required Qualifications

  • Minimum 5+ years of property management experience in New York City cooperative housing.
  • Demonstrated proficiency with Yardi for property management tasks. Experience with Breeze and MS Office for daily operations.
  • Demonstrated experience managing cooperative residential buildings and working directly with Boards of Directors.
  • Strong knowledge of building operations, maintenance, capital projects, budgeting, and payroll administration.
  • Proven ability to supervise both union and non-union building staff, ensuring compliance with relevant policies and standards.
  • Excellent written and verbal communication skills.
  • Strong organizational, analytical, and problem-solving abilities.
  • Strong skills in using property management and financial systems to support building operations and reporting.
  • Knowledge of Domecile, Compliant, and Paycor (for payroll) is helpful but not required.
  • Articulate and highly professional.
  • Personable and approachable with residents, staff, and Board members.
  • Calm and composed under pressure.
  • Respectful, diplomatic, and emotionally intelligent.
  • Discerning, with excellent judgment and decision-making skills.
  • Highly accountable, detail-oriented, and service-focused.
