Location: On-site, Far Rockaway, New York

Hours: Mon–Fri, 7:45 am-4:30 pm (occasional evenings, weeknights, and weekends, including parent events).

Pay: $29/hr

Job Summary

Preparatory Charter School is looking for an Operations Coordinator to ensure smooth day-to-day operations of the school. The Operations Coordinator is one of the ?rst points of contact for parents, visitors, community members, and other external parties. The OC warmly, courteously, and effectively interacts with all parties to ensure their experience is consistently positive. The OC plays an integral role in the school’s Operations Team and ful?lls a range of administrative duties. The OC position is integral to the success of this mission, as they will ensure our staff and our scholars have everything they need – from materials and supplies to an ef?cient and high-functioning work environment – to maximize student achievement. This role supports school leadership, staff, and students by managing logistics, facilities, technology, and administrative processes. The ideal candidate is detail-oriented, proactive, and capable of juggling multiple responsibilities in a fast-paced educational environment.

 

Essential functions

  • Assist with purchasing, inventory, and ?nancial management.
  • Assist the Operations Manager in tracking school expenses against the annual budget and forecasting future spending needs.
  • Utilize detailed inventory systems to ensure the school always has the materials necessary to function without downtime.
  • Serve as the point of contact for school staff, students, families, and vendors.
  • Maintain accurate student and staff records (attendance, enrollment, immunizations, etc.).
  • Support the principal and the leadership team with the calendar.
  • Management, correspondence, and meeting coordination.
  • Manage front of?ce operations, including phone calls, mail, and visitor check-in.
  • Ensure the ?delity of the PowerSchool student information system.
  • Support in ensuring that ATS and state-level data systems are up-to-date and accurate.
  • Coordinate daily student/school transportation (OPT).
  • Manage student recruiting and enrollment under the guidance of the Associate Director of Operations.
  • Help to continually improve school operations systems and procedures and lead or support with special projects in this area.
  • Oversee school nutrition program, including coordination and distribution of breakfast, lunch, and snack, as well as all compliance and reporting requirements.
  • Partner with the custodial team to ensure the garbage compost is being executed as per the NYC Department of Sanitation guidelines.
  • Assist teammates in planning and executing all student and family events, including family conferences, ?eld trips, etc.
  • Manage shared space reservations and calendars.
  • Help execute arrival, lunch, dismissal, transportation, and other whole school systems (speci?c duties will vary by campus).
  • Create and maintain teacher-friendly systems for photocopying and creating posters.
  • Create a welcoming main of?ce environment for families by providing top-notch customer service.
  • Serve as the primary point of contact for staff and student technology.
  • Flexibility to work evenings and weekends as needed.
  • Additional support at the request of the Associate Director of Operations.
  • Relentlessly oversee and maintain the school’s physical condition.
  • Ensure that all spaces are neat, organized, beautiful, and optimized for their designated use.
  • Work closely and seamlessly with the school’s custodial team.
  • Maintain all classroom and shared-space technology (projectors, copiers, etc.) to enhance teaching quality and ease for all staff.

 

Minimum Qualifications

  • Clear and concise verbal communication skills.
  • Clear, professional verbal interaction. 
  • Ability to interface with staff, visitors, and the general public
  • Proficiency in written communication for composing documents and reports.
  • Ability to lift 25 lbs.
  • Physically able to be highly mobile with significant movement around the building, including continuously walking up and down stairs.
  • Excellent organizational ability for strong file and task management.
  • Team player who is willing to do whatever it takes to get the job done.
  • Strong hospitality skill set with attention to detail and a sense of ownership 
  • Tech-savvy, strong computer literacy, and confidence in using office software and digital documentation.
  • Proficiency in Microsoft 365 (Microsoft Word and Excel) and Google Platforms.
  • Experience with PowerSchool (Attendance) and Procurify (Purchasing) or similar systems.
  • Strong ability to prioritize and manage time effectively to meet deadlines
  • Polished presentation and strong organizational skills with attention to detail.
  • Personable and able to work independently and within a group.
  • Prior experience in academic and administrative settings.
  • Background checks and fingerprinting required.
