Description

The Accounts Payable Coordinator is responsible for the timely and accurate processing of accounts payable transactions. This role ensures proper documentation, coding, approvals, and compliance with grant and organizational requirements. The position also supports audit readiness, month-end close, and internal controls.

Key Responsibilities

Accounts Payable Processing

•  Review, code, and process vendor invoices, check requests, ACH payments, and employee reimbursements.
•  Ensure all payments include proper documentation and approvals.
•  Maintain accurate vendor records and organized payment files.
•  Serve as the primary contact for vendor payment inquiries.

Credit Card & Expense Administration

•  Process and reconcile corporate credit card activity.
•  Review expense submissions for compliance and proper coding.
•  Follow up with staff regarding missing documentation or overdue reconciliations. 

Reconciliations & Month-End Support

•  Support month-end and year-end close tasks.
•  Prepare reports and schedules for management review.

Compliance & Reporting

•  Collect and maintain vendor W-9s.
•  Assist with annual 1099 preparation and filing.
•  Provide documentation for internal and external audits.
•  Ensure compliance with nonprofit accounting standards and grant requirements.

Additional Duties

•  Support process improvements and internal control enhancements.

Qualifications

•  Associate’s degree in Accounting, Finance, or related field preferred; equivalent experience considered.
•  2–3 years of accounts payable or general accounting experience.
•  Nonprofit experience strongly preferred.
•  Strong attention to detail and accuracy.
•  Knowledge of AP processes, 1099 reporting, and internal controls.
•  Proficiency with accounting systems and Microsoft Excel.
•  Strong organizational and communication skills.
