Probate & Estate Administration Paralegal

Position Type: Full-Time, Permanent
Location: Hauppauge, NY – Onsite
Schedule: Monday–Friday, 7 hours per day during regular business hours
Salary: $85,000–$95,000 annually

About the Opportunity

Due to the rapid expansion of the organization, an established and growing elder law department is seeking a self-motivated, organized, and detail-oriented Probate & Estate Administration Paralegal to join its team.

The successful candidate will join a progressive and innovative elder law department consisting of nine attorneys and a strong team of paralegals. This position offers an opportunity to play an integral role in supporting attorneys and working directly with clients throughout the estate administration process.

The primary responsibility will be preparing Surrogate's Court petitions and related documents for the probate or administration of estates. The position also involves substantial client contact and will require someone who is comfortable communicating with clients and gathering information necessary to assist attorneys in representing clients in estate administration, estate planning, and elder law matters.

Key Responsibilities

  • Prepare Surrogate's Court petitions and related documents for the probate and administration of estates.
  • Assist attorneys with all aspects of estate administration matters.
  • Maintain significant client contact and provide excellent client service throughout the legal process.
  • Communicate with clients to gather information, documentation, and other materials necessary for estate administration.
  • Assist attorneys with estate planning and elder law matters as needed.
  • Prepare wills, trusts, powers of attorney, healthcare proxies, and other estate planning documents.
  • Prepare additional Surrogate's Court petitions and related filings.
  • Assist with guardianship applications and related documentation.
  • Organize and maintain accurate client and matter files.
  • Track deadlines and ensure documents and filings are completed accurately and timely.
  • Work closely with attorneys and other paralegals in a collaborative, fast-paced environment.
  • Perform legal and administrative tasks necessary to support the department and provide high-quality client service.

Qualifications

  • 2–3 years of experience specifically in probate and estate administration.
  • Paralegal certificate required.
  • Strong knowledge of probate and estate administration procedures.
  • Excellent written and verbal communication skills.
  • Strong client-service orientation and ability to communicate professionally with clients.
  • Superior computer skills, including proficiency with Microsoft Office and HotDocs.
  • Knowledge of Time Matters is a plus.
  • Exceptional attention to detail and organizational skills.
  • Strong analytical and problem-solving abilities.
  • Ability to manage multiple matters, priorities, and deadlines effectively.
  • Self-motivated and capable of working independently.
  • Ability to function effectively as part of a team in a fast-paced environment.
  • Professionalism, discretion, and commitment to maintaining client confidentiality.

Compensation & Benefits

  • $85,000–$95,000 annual salary, depending on experience.
  • Full-time, onsite position in Hauppauge, NY.
  • Monday–Friday schedule, 7 hours per day during regular business hours.
  • Medical insurance: The firm pays 80% of the individual employee premium. Employees are responsible for a greater portion of premiums for spouse, child, or family coverage.
  • Dental insurance through Guardian.
  • Voluntary long-term disability and AFLAC coverage available at the employee's expense.
  • 401(k) through ADP available beginning on the first day of employment. The plan is employee-managed, and the employer is not currently making contributions.

Ideal Candidate

The ideal candidate will have hands-on probate and estate administration experience, excellent organizational and communication skills, and a strong commitment to client service. Because this position involves substantial client contact, the successful candidate should be comfortable working directly with individuals and families while maintaining professionalism, empathy, accuracy, and attention to detail.
