Responsibilities:
- Welcome clients and visitors and direct them to appropriate staff
- Handle Check-in
- Alert staff members to the arrival of their appointments
- Collect fees and issue receipts as necessary
- Maintain sign in logs
- Answer and screen all incoming calls and transfer to appropriate lines.
- Take and relay messages from incoming calls.
- Act as a first point of contact for clients with questions or concerns
- Assist clients to navigate programs and procedures.
- Obtain updated information and liaises with Billing department
- Maintain appropriate levels of office supplies by preparing supply orders for approval by the Director and then submitting orders electronically in Staples system
- Accept deliveries, alert recipients, and route items to appropriate departments
- Sort and distribute mail.
- Maintain and dispense petty cash to staff and clients
- Schedule tasks
- Contact clients one business day in advance of their appointment
- Serve as back up to the Operations Coordinator
Skills:
- Bilingual (English/Spanish) required.
- High School diploma or equivalent required; Bachelors degree preferred.
- High proficiency with technology, software and applications (Microsoft Office suite and Zoom.)
