Description

We are seeking an enthusiastic, organized administrative assistant to the cantor and cantorial intern and B’nei Mitzvah coordinator.  This person will support the cantor with any administrative tasks, including coordinating the Bnai Mitzvah program, so it runs smoothly. As the Bnai Mitzvah coordinator, this person will support the experience of our members during this significant milestone in their lives. On a practical level, this person will handle all of the Bnai Mitzvah planning, information, logistics, and communication, in consultation with the senior cantor and other clergy. In addition, this person will be an essential engagement representative, interfacing with congregants and B’nai Mitzvah families to assist them through their B’nai Mitzvah journey. This position requires balancing the support work for the cantors, the administrative tasks of the B’nai Mitzvah Program, and the intangible people skills that are essential to the culture of our synagogue.  Vast knowledge of the Jewish faith is required. Timeliness, attention to detail, and collaboration are crucial, as are good judgment, a talent for customer service, and a positive, engaging style.

Onsite in New York City, 10am - 5pm

Prior Executive Assistant experience required

Knowledge of the Jewish faith required

 

Position Responsibilities:

Support the cantors, including serving as the front-line communicator and coordinator supporting the experience of B’nai Mitzvah families; providing information, resources, and a positive outlook aligned with the synagogue’s priority of making this a positive and meaningful experience that creates a lasting connection with our members.

 

Administrative Assistant to the Cantors

  • Assist the cantors with any administrative tasks, including correspondence, answering phone calls, scheduling appointments, and managing calendars
  • Scan, send, and copy music as needed
  • Copy programs for special musical programs or concerts
  • Make copies of Torah study packets
  • Send out agreements for the quartet, accompanist, and High Holy Day musicians
  • Order Bnai Mitzvah learning recordings and blank flash drives
  • Print note cards for the cantors
  • Send emails to the junior choir and/or adult choir as needed
  • Put songsheets in binders for the junior choir
  • Vast knowledge of the Jewish faith is required

 

B’nei Mitzvah Coordinator

  • Vast knowledge of the Jewish faith and B’nai Mitzvah is required
  • Create a yearly B’nai Mitzvah Schedule of Meetings and rehearsals, which include progress meetings and D’var Torah meetings;
  • Meet with Senior Cantor to go over the scheduling of dates & finalize
  • Inputting all meetings, schedule of rehearsals in Cantor Calendar and EMS
  • Coordination of B’nai Mitzvah Meetings with Clergy and families
  • Create a schedule for yearly one-to-one tutor sessions
  • Oversee day-to-day tutoring and meeting schedules
  • Coordination with families for reserving Sanctuary for Photo sessions;
  • Coordination with families for reserving Davis and Raisler Room for Kiddush after B’nai Mitzvah service
  • Coordination of rehearsals, including correspondence with families
  • Coordination with Religious schools on various matters
  • Liaison between parents and tutors when needed, assessing tutor calendar and needs
  • Maintain weekly time of tutors and submit, after approval from Senior Cantor, to payroll every month
  • Email daily schedule to tutors and any other announcements from Senior Cantor
  • Distribute paychecks to tutors
  • Reminders to B’nai Mitzvah parents of scheduled meetings, rehearsals (weekly), holiday breaks, special tutoring, and other relevant information
  • Create and maintain B’nai Mitzvah master chart for each year
  • Working/following up with families on B’nai Mitzvah
  • Work on Erev Shabbat, Jewish Holidays as needed
